The Challenge
Meridian Film & Television was mid-production on a major BBC documentary series when their existing equipment logistics arrangement collapsed. The production used 6 location units operating across London and the South East simultaneously, requiring daily movement of camera equipment, hard drives containing raw footage, lighting kit, and grip equipment between locations, the production office, and post-production facilities.
Equipment not arriving on time at a location meant idle crew, missed shooting opportunities, and significant budget overrun. Raw footage hard drives that didn't reach post-production overnight meant editing delays that pushed back the entire schedule. After a critical equipment failure on a location unit, they needed a logistics partner who could respond within the hour — any time of day.
Our Solution
X-Eagle was brought in mid-production and implemented an emergency logistics protocol within 24 hours:
On-Call Same-Day Collection — Meridian's production coordinator had a direct line to X-Eagle's dispatch team. Any equipment collection could be requested with 60-minute response, 7am to midnight on shooting days.
Hard Drive Rush Service — raw footage drives collected from location units each evening and delivered to the post-production facility before the overnight edit team began work. Zero interruption to the post-production pipeline.
Multi-Stop Equipment Runs — camera packages, lighting rigs, and grip equipment distributed to multiple locations on morning runs before first unit call time, optimised to ensure all locations received equipment before crew arrived.
Fragile Item Protocol — all camera equipment handled with padded vehicle protection and noted as fragile at booking. Drivers briefed on the value of cargo and required to confirm safe loading with the production coordinator on every collection.
The Result
Over 6 weeks of principal photography:
- 60+ rush equipment and footage runs completed - Zero production delays attributable to equipment or footage logistics - Average response time from request to driver collection: 42 minutes - Hard drive delivery to post-production: 100% before overnight edit sessions - Production wrapped on schedule; Meridian's head of production described X-Eagle as "the only logistics decision we got right on this series"
