The Challenge
An East Midlands NHS Trust operates across 12 sites including acute hospitals, community health centres, and pathology labs. The logistics challenge: moving time-critical pathology specimens, blood products, biopsy samples, and urgent medical consumables between sites — often with sub-2-hour collection windows and strict temperature requirements.
Previous providers struggled with out-of-hours collections (evenings and weekends are not optional in healthcare), failed to maintain adequate temperature control documentation, and lacked the audit trail required for CQC compliance. One failed specimen transport had resulted in a patient biopsy needing to be repeated — an unacceptable outcome.
Our Solution
X-Eagle worked closely with the Trust's logistics and procurement team to design a bespoke transport protocol.
24/7 Dedicated Rota — a dedicated team of trained drivers available around the clock, including bank holidays, ensuring no service gap at any hour.
Temperature-Controlled Vehicles — refrigerated vans maintained at 2–8°C for blood products and specimens requiring cold chain, with continuous temperature logging throughout each journey.
Strict Chain of Custody — every collection and delivery signed for with timestamp, GPS, and driver ID. Full audit trail available via the Trust's online portal within 30 minutes of delivery.
GDPR & Patient Data Compliance — all drivers briefed on handling patient-identifiable materials; sealed, labelled packaging protocol enforced for all specimen runs.
Priority Override Protocol — any "URGENT STAT" request dispatched within 15 minutes, regardless of existing workload, with a dedicated escalation line direct to X-Eagle's dispatch supervisor.
Monthly Performance Reviews — X-Eagle provided a monthly report to the Trust's head of portering including on-time rates, temperature compliance, and any incidents — meeting NHS contract monitoring requirements.
The Result
Over 18 months of the contract:
- 99.1% on-time delivery rate across all 12 sites - Zero temperature excursion incidents on cold-chain shipments - Out-of-hours coverage: 100% — including Christmas Day and bank holidays - CQC audit: X-Eagle's documentation cited as "exemplary" for chain of custody - Patient safety incident related to specimen transport: zero since contract start - Contract renewed for a further 3 years with expanded scope to cover 4 additional sites
